Why We’re Building tuukoti: Solving Project Billing and Visibility Gaps

Why we’re building tuukoti

Getting paid shouldn’t need a spreadsheet

In every service-based business I have worked with, the same story seems to play out.

The team is delivering high-quality work. The client is happy. The project is progressing. But when it comes to billing?

Confusion.

Milestone dates live in email threads. Contracts are saved in a folder no one opens. Spreadsheets try to keep track of what has been invoiced and when, but they are often outdated or disconnected from what is actually happening. Finance teams are left to chase, guess or delay.

This is not due to bad management or poor tools. These are smart, well-run companies doing good work. But the gap between delivery and financial clarity keeps showing up, and it creates tension.

I have seen project managers manually track when they think billing should happen. I have seen finance teams unsure of what has already been delivered. I have seen founders looking at the bank balance wondering why things feel tight, even when revenue is strong on paper.

The truth is, this is a visibility problem. And it is everywhere.

In most companies, once the deal is signed, the momentum moves to delivery. But the terms of that deal — what was sold, what was promised, what should be invoiced — quickly fade from view. The tools used to manage delivery do not reflect the financial agreements. The systems used by finance do not reflect what is happening in real time.

So we decided to fix it.

We are building tuukoti to give businesses one shared source of truth. A place to track contract terms, billing milestones and the live financial status of each project. A tool that connects operations, finance and delivery without relying on memory, spreadsheets or Slack messages.

Our goal is not to replace your CRM or accounting software. We are not trying to be a full project management platform either. We are focusing on the part that often gets missed: what was signed, what is owed and when the money should move.

If you have ever had to guess what to invoice, search for a milestone date or felt unsure about your current revenue position, then this was built with you in mind.

We are early. We are learning. And we are building with real teams to get it right.

If any of this sounds familiar, we would love to hear from you.
